Stated Session Meeting Minutes

@ First Presbyterian Church, Georgetown, KY

June 13, 2010 @ 6:00pm

 

Present:  Tom Cooper, Elwood Sharron, Jenny Agnew, Melissa Galloway, Larry Hammer, Wayne Ruggles, Doris Reed, Pastor Gaither Bailey as Moderator and Emily Carroll as Clerk of Session.

Absent:  Martha Ann Graves (excused), Rachel Schmidt, Ruthie Adams  (excused), Jerry Gregory, David Thornton (excused)

 

The meeting was called to order and a quorum was established.  The proposed agenda was adopted as amended.  Pastor Gaither opened the meeting with a devotional and prayer.   

 

Approval of Minutes:  The minutes for the stated session meeting of May 16, 2010 were approved as distributed.

 

OLD BUSINESS

Bruce Lankford has completed his review of the new Safety Policy and the three letters from the congregation.  Gaither and Elwood will meet with him to obtain his "commented" version.  They will bring this version to the session for further action, if necessary.

 

CLERK’S REPORT

·         Elders serving communion on June 6, 2010 were:  Wayne Ruggles, David Thornton, Tom Cooper, Jenny Agnew, and Ruthie Adams.

·         The clerk will contact the following groups to request that the name of the group's representative to the investigative committee be provided to the clerk no later than 5:00 pm on July 15, 2010:

o   morning circle

o   evening circle

o   youth or youth council

o   music programs

o   Board of Trustees

 

PASTOR’S REPORT

·         Motion was made to change the representation on the investigative committee:  combine the representatives from the choir and the hand chimes choir as one (1) representative from the music programs and add a trustee from the Board of Trustees.  MOTION CARRIED.

·         The Pastor's report was approved as submitted.

 

 

COMMITTEE REPORTs/Proposals

 

Worship:                      Minutes:  06/06/2010

·         Motion was made to put the wedding of Mary Katherine Knight and Robert Clinton Jackson on the church calendar for June 17, 2011 (rehearsal) and June 18, 2011.  MOTION CARRIED.

 

Service & Outreach:    Minutes: 06/13/2010 (in progress)

·         Motion was brought from committee to collect a special offering during next Sunday's (June 20, 2010) worship service for the purpose of providing financial support for a mission trip to Guatemala for a member of the Mt. Olivet Cumberland Presbyterian Church (Bowling Green) who is a friend of Melissa Galloway   Checks should be made payable to our church and then one check from our church will be sent to the church in Bowling Green.  MOTION CARRIED.

 

Fellowship:                  Minutes: 06/09/2010

·         Ron Knight has volunteered to mow the grass each Thursday.

 

Administration & Finance:

                                    Financial Reports:  May, 2010

§  Motion was brought from committee to increase the pay of each of our staff by 2%.  MOTION CARRIED.

 

Christian Education:  Minutes:  05/23/2010 

 

Personnel:                    Minutes:  06/10/2010 (in progress) 

§  Current job descriptions / contracts with our part-time staff do not identify the tasks that they are currently performing in a manner that will facilitate evaluations.  The first task in the evaluation process must be to work with the staff to create current job descriptions.  The following committees are assigned to work with the designated staff to complete this task:

·         Administration & Finance – Secretary/Bookkeeper

·         Worship – Organist/Choir Director

·         Christian Education – Nursery Director

·         Property – Housekeeping Services

§  Motion was brought from committee to rescind the Illness Policy which was approved by Session on November 10, 2002.  MOTION CARRIED.

§  The pastor's performance will be evaluated by the entire congregation using a form based on the Book of Order.  The form will be published in the Mouse as well as placed in the narthex.  The forms should be returned to a box placed by the committee no later than July 18, 2010.

 

Nominating:                An insert will be placed in the worship bulletins requesting nominations for chair and four (4) representatives of the congregation at large to serve on the new investigative committee. 

 

Facilities Planning:      No report. No actions required by Session.

 

All committee reports were received and approved as submitted.


 

NEW BUSINESS

Motion made and seconded to elect Melissa Galloway to be the vice-chair of the newly formed investigative committee.  MOTION CARRIED.

 

The next stated session meeting will be July 18, 2010 at 6 pm.  Jerry Gregory will provide the devotional and opening prayer at the next meeting.

 

The meeting was closed with prayer.
